We collect personal information from you, including information about your:
- Name
- Contact Information
- Passport or Drivers License
We collect your personal information in order to:
- process expressed interest for purpose of renting a property
- be able to contact you with updates on an application for the purpose of renting a property
- enter your details as legal Tenant on a legal Tenancy Agreement under the Residential Tenancies Act 1986 (subject to a successful application for purpose of renting a property))
- carry out a Credit Check for purpose of meeting the required criteria of being able to meet financial obligations for the purpose of renting a property
- have contact details for purpose of any debt collection (subject to an application for purpose to rent a property is successful) on an if/as/when required basis
- have contact details for communication during a Tenancy (subject to a successful application for purpose of renting a property), both for general correspondence, updates on maintenance, access arrangements with tradespeople and serving of notices.
Besides our staff, we share this information with:
- Tradespeople in order to quote on, and complete any maintenance required at a property.
- a Valuer (on request) in order to have them prepare a valuation on behalf of the Property Owner of the property
- the Property Owner (on request) in order to provide confirmation of a secured legal Tenancy commencing/being in place
Providing some information is optional. If you choose not to enter photo ID, either a passport or drivers license , we’ll be unable to process your application for the purpose of renting a property, unless waived at the discretion of the Agent for Landlord (Utiger Properties) on behalf of Property Owner.
- If you choose not to enter the true and correct full legal name we’ll be unable to process your application for the purpose of renting a property
We keep your information safe by keeping it in digital files and locked in a secure filing cabinet and only being accessed by the Managing Business Owner of Utiger Properties.
We keep your information for 6 years (subject to application for purpose of renting a property is successful), however tenant ledgers are kept for 7 years as required under Section 22 of the Tax Administration Act 1994 at which point we securely destroy it by permanently erasing all digital information stored and shredding any possible paper files stored.
